Refund Policy
How refunds are calculated if you withdraw, when they are paid, and your right to cancel before your program starts.
Refunds After Classes Begin
1.1 Who receives a refund
A student who withdraws after the first day of instruction, or whom the University terminates, receives the refund shown in the Refund Schedules for the week in which the withdrawal date falls. The University calculates and pays any refund due.
1.2 Written request to withdraw
A student who wishes to withdraw should send a written request to Student Affairs at [email protected]. The University does not need to receive a written request before it pays a refund. If no request is received, the University sets the withdrawal date from its records and pays any refund due under this policy.
1.3 Withdrawal date
The withdrawal date is:
- the date the student gives notice of withdrawal; or
- if the student gives no notice, the student's last date of documented academic activity, as defined in the Attendance and Leave of Absence Policy; or
- if the University terminates the student, the termination date. For a student who does not return from an approved leave of absence, the termination date is the date the leave ends, and the refund percentage is set by the student's last date of academic activity before the leave began.
1.4 How the refund is calculated
The University calculates the refund by instructional week, using the Refund Schedules below. The refund percentage applies to the tuition charged for the semester in which the withdrawal date falls. Weeks are counted from the first day of the semester. The application fee is not part of the tuition refunded.
1.5 Written confirmation
The University sends each withdrawn student written confirmation of the withdrawal date. The confirmation is not a condition of the withdrawal or of any refund.
1.6 Special reconsideration
A student who is refused a refund may ask Student Affairs for special reconsideration by email to [email protected]. The request must explain the exceptional circumstances (for example, a serious documented illness or injury) and attach documents, such as a medical certificate.
Refund Schedules
Because our 12-month and 20-month programs have semesters of different lengths, there are two weekly schedules. Use the column for your program; the length of your semester or ESL level is also shown in your Enrollment Agreement. The career diplomas use the diploma schedule further below.
| Week of the semester | 12-month programs: Accelerated MBA and Hybrid MBA (semesters of 8 to 9 weeks) | 20-month MBA (semesters of 14 weeks) and ESL levels (12 to 16 weeks) |
|---|---|---|
| Week 1 | 80% | 80% |
| Week 2 | 60% | 70% |
| Week 3 | 40% | 60% |
| Week 4 | 20% | 50% |
| Week 5 | 0% | 40% |
| Week 6 | 0% | 30% |
| Week 7 | 0% | 20% |
| Week 8 | 0% | 10% |
| Week 9 or later | 0% | 0% |
The percentage shown is the share of the tuition for that semester or level that is refunded.
Career diplomas (4 to 6 months)
For a career diploma, the refund depends on how much of the diploma's scheduled length has passed on the withdrawal date.
| Share of the diploma's length completed | Refund of the diploma tuition |
|---|---|
| Up to 10% | 90% |
| More than 10%, up to 25% | 50% |
| More than 25%, up to 50% | 25% |
| More than 50% | 0% |
When Refunds Are Paid
The University pays any refund within 30 days of the cancellation, withdrawal or termination date. The refund goes to the original method of payment. If a law that applies to the University requires a shorter time or a larger refund, the University follows that law.
Cancellation Before Your Program Starts
Windsor University applies this cancellation policy to every applicant and every newly enrolled student.
4.1 Cancellation after orientation or a tour
An applicant who has not visited the University before enrolling may cancel without penalty, and receives a full refund of all monies paid, by requesting cancellation within three business days after:
- the regularly scheduled orientation, or a tour of the University's facilities and equipment, for the Hybrid MBA and for ESL taught in hybrid or in-residence format; or
- the orientation or virtual tour of the University's online learning environment, for online programs. The University gives this orientation or virtual tour after enrollment, when the student has received login credentials and can access their account, the Moodle Student Portal and student services.
4.2 Cancellation within three days of signing
An applicant who requests cancellation within three days after signing the Enrollment Agreement and making an initial payment receives a refund of all monies paid.
4.3 Cancellation after three days and before the program starts
An applicant who requests cancellation more than three days after signing the Enrollment Agreement and making an initial payment, but before the first day of instruction, receives a refund of all monies paid minus a registration fee. The registration fee is never more than 15% of the contract price of the program and never more than $150.
| Program | Registration fee kept |
|---|---|
| MBA, Accelerated MBA and Hybrid MBA | $35 (the application fee) |
| Career diplomas | $20, or 15% of the diploma price if that is less (for example, $10.50 for the Cybersecurity diploma) |
| English as a Second Language (ESL) | $10 (the application fee) |
4.4 How to cancel
Send your cancellation request in writing by email to [email protected]. State your full name, your program and that you wish to cancel. The cancellation date is the date the University receives your request.
4.5 Application fee
The application or registration fee is refunded in the cases described in 4.1 and 4.2. In the case described in 4.3, the University keeps it, up to the amount shown in the table.
